NJC Pay Award – Action for Managers

Article dated: 05/12/2023

The NJC Pay Award was implemented in November 2023 with arrears being paid back to April 2023. This was actioned on all pay elements that are linked to directly to salary - however, there are a number of pay elements where the rate is entered by the employee/manager and Payroll are unable to determine if these are linked to NJC rates or not.

It is therefore necessary for managers to review payment claims relating to these pay elements and if appropriate, process the arrears manually via self-service.

The pay elements that may need to be uplifted manually, if the rates used are linked to NJC, are as follows:

  • Additional Duty Allowance
  • Additional Hours Worked
  • Normal Hours Worked
  • Sessional Pay
  • Sessional Pay Non-Pensionable

To ensure that backpay is paid appropriately, the process is outlined below:

  • Run a payment claims report with date parameters 1 April 2023 to 30 November 2023 – download this guidance here.
  • Review all claims as listed above and filter down to those that relate to NJC
  • Using the rates on in our HR section to calculate the difference in hourly rate
  • Input the number of units paid at the old rate x the difference in hourly rate
  • Enter a narrative in the Justification field of ‘Pay Award Arrears 2023’

Please note that this exercise should be undertaken before the December cut-off of 11 December 2023.  If the above process is not completed in time for the December payroll, then it will be necessary to extend the report parameters to include the extra month(s) as appropriate.

Should you have any queries or issued relating to this then please do not hesitate to contact the Payroll Service.
